




Special Events
Any organized activity or large gathering held on OVPSA park property is considered a Special Event.
Special Events may include, but are not limited to:

Public or private gatherings
-
Athletic or recreational activities
-
Community or church events
-
Entertainment or performances
-
Weddings, reunions, and celebrations
-
For-profit, nonprofit, or charitable events
Additional Approval Requirements
In addition to reserving your event through the website, direct request and approval from the OVPSA Board (and directly from Huntsville Town if applicable depending on location) shall be required for any event that:

Is advertised or notice distributed and open to unlimited public participation

Is expected to have more than 150 participants and spectators combined
-
Includes vendors, businesses, official organizations, or financial exchanges
-
Requires traffic modifications, road closures, or other impacts to public access
All applications for special events require OVPSA Board approval. Please download this application and submit it to: chair@ogdenvalleyparks.utah.gov
Please allow 30 days for your application to be processed. You will be invited to present your application at an OVPSA Board Meeting. The OVPSA Board will make a determination on granting the request based on the impact of the event on traffic, security, welfare, convenience, health and safety of the public and the plans of the applicant to mitigate these concerns. No permit will be granted without a certificate of insurance listing the OVPSA as an insured party. If a permit is granted, the OVPSA makes no guarantees and assumes no liability for the safety of participants or spectators of special events. The event may also require coordination with any of the applicable agencies: Weber-Morgan Health Department, Weber county Sheriff Department, local Fire District, other Ogden Valley city and/or Weber County services that may be impacted.
If your event meets any of these criteria, please directly contact the OVPSA Board as early as possible during the planning process to have time to request permission from the OVPSA Board to hold the event on park property and to adequately prepare the additional requirements prior to announcing the event.
If the Board approves your event, you will need to provide any additional permits, licenses, insurance, or other documentation required to hold the event on OVPSA park property prior to your provided deadline. The Board will provide submission deadlines for all required materials. Meeting these deadlines is necessary to secure your reservation and avoid cancellation.
Additional requirements typically include, but are not limited to:

Municipal Special Event Permit (if applicable based on city requirements)

Certificate of Insurance - Must list OVPSA as an additional insured

Volunteer sign up list (if applicable) along with completed liability waivers
-
Applicable business or other licenses (if applicable)
-
Weber-Morgan Health Department food handler permits (if food is provided by individuals or organizations not operating under a licensed food vendor)
Other permits or documentation may be required based on the nature of the event
Documented proof that the above requirements must be submitted by deadlines established by the OVPSA Board. Failure to meet these requirements may result in the event being denied or canceled.
Special Event Fees
Special Event fees are based on the total number of attendees and participants.
Fee schedules will be put into affect prior to the end of the 2026 calendar year and will be posted once available. Prior to Board vote and implementation, please discuss with the board directly during your application process.
